This policy explains what information Dartutors System ("Dartutors", "we") collects, why, and what control you have over it. It covers this website and the Dartutors System service used by schools.
Two kinds of data
School data. Schools that use Dartutors System add information about their students, parents, guardians and staff: names, contact details, class records, attendance, marks, fees and similar records. The school decides what is collected and why. For this data the school is the controller and Dartutors acts as its processor: we store and process it only to provide the service to that school, following its instructions.
Our own data. When you visit this website, contact us or sign up, we collect the details you give us, such as your name, school, email address and phone number, plus basic technical data like your browser type and IP address. For this data Dartutors is the controller.
How we use information
- To provide, secure and support the service each school has subscribed to.
- To reply to enquiries, arrange demos and set up trials.
- To send invoices, receipts and important notices about your account.
- To keep the service reliable and to detect and prevent misuse.
We do not sell personal data, and we do not use school data for advertising.
Children's information
Student records often concern children. Schools are responsible for having a lawful basis, and where required parental consent, for the student information they add. We apply strict access controls to this data and use it only to deliver the service to the school.
Sharing
We share information only with service providers that help us run Dartutors System, for example hosting, email, SMS and payment providers, and only as needed for that purpose. Each is bound by confidentiality and data protection obligations. We may disclose information where the law requires it.
Security
Each school's data is kept separate from other schools'. Access is limited to logins the school creates, with role-based permissions. Connections are encrypted, passwords are stored hashed, and data is backed up regularly.
Retention
School data is kept for as long as the school's subscription is active. When a school leaves, it can request an export, after which the data is deleted within a defined period unless the law requires us to keep it. Enquiry and billing records are kept as long as needed for those purposes and for our legal obligations.
Your rights
You can ask to access, correct or delete your personal information, or object to how it is used. If your information was added by a school, contact that school first; we will help them respond. For information we hold as controller, contact us directly.
Cookies
We use cookies that are needed to keep you signed in and to protect forms from misuse. The installable app stores copies of the site's style and script files on your device so it loads faster; it does not store school records for offline viewing.
